Privacy Policy

This notice explains how Innixus Group Sàrl collects, uses, discloses and protects personal data in connection with the Halif Hatch website, the application process and the delivery of the Halif Hatch program.

This notice is prepared with the aim of ensuring compliance in particular with Regulation (EU) 2016/679 of the European Parliament and of the Council, known as the GDPR, the UK GDPR and the Swiss Federal Act on Data Protection.

Halif Hatch is a venture-building program operated by Innixus Group Sàrl in partnership with Tahaluf Al Emarat Technical Solutions LLC, based in the United Arab Emirates.

Tahaluf is involved in the design of the program and, for selected applicants, may act as a separate controller for the purposes of program delivery. Innixus and Tahaluf have entered into a written Data Protection Agreement governing how personal data is handled between the parties.

When we process personal data, you are the data subject, meaning the person to whom the processed personal data relates.
 
2. What personal data we process
Identity and contact details

• first and last name,
• email address,
• phone number,
• country and city.


Professional and project information

• links you provide, such as a website, profile, portfolio or other relevant links,
• selected program path or track,
• field of work,
• answers relating to your work, team, project, startup or idea,
• information about your time commitment, language readiness and location flexibility,
• any other information you decide to include in your application.


Optional materials
• files, documents, presentations or other materials you choose to upload as part of your application.

Consent records
• a time-stamped record of the consent checkboxes you selected in the application,
• a record of any withdrawal of consent.

When you visit our website, we may also process standard analytics information, but only if you have given us your prior consent through the cookie banner. This may include, for example, an anonymized IP address, pages visited, device or browser type and referral source. More information is available in the separate Cookies section.
We do not knowingly collect special categories of personal data, such as data concerning health, political opinions, religious beliefs, ethnic origin or other sensitive data under Article 9 GDPR. Please do not include such data in free-text answers or uploaded materials.

If you nevertheless voluntarily provide us with such data, we will process it only to the extent necessary to assess your application and on the basis of your explicit consent, which you may withdraw at any time.

 
3. Why we use your data and on what legal basis
We process your personal data only for specific, explicitly defined and legitimate purposes. If we process your personal data on the basis of consent, you have the right to withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before its withdrawal.
4. Who we disclose your personal data to
Who we disclose your personal data to and where we transfer it

We disclose your personal data only to the extent necessary for the purposes of processing applications, evaluating projects and delivering the program.

During the application and evaluation process, your data may be disclosed to:

• authorized personnel of Innixus Group Sàrl who are involved in reviewing applications;
• Wix.com Ltd, which provides our website and form infrastructure and acts as our processor under a data processing agreement;
• where necessary, professional advisers, such as legal counsel, who are bound by confidentiality obligations.
• SmartEmailing, which provides our email marketing and communication infrastructure and processes data submitted through our forms for the purpose of managing and sending further marketing communications, where permitted by applicable law and based on the relevant legal basis, acting as our processor under a data processing agreement;
 If you are selected for the program and only if you have given the relevant conditional consent in the application form:

Your identifying information, specifically your name, project or startup name, contact details and country or city, may be disclosed to Tahaluf Al Emarat Technical Solutions LLC, based in the United Arab Emirates, which is our program partner.
Tahaluf processes this data as a separate controller under a data protection agreement for the purposes of delivering the program. This includes, in particular, matching a selected participant with the relevant Tahaluf division representative for The Briefing, securing a design partner and carrying out further communication related to the program.

If you are not selected for the program, your personally identifying information will not be disclosed to Tahaluf.

We may share aggregated and non-identifying information about applications with our program partner Tahaluf and, where applicable, with other ecosystem partners. This may include, for example, the number of applications, thematic areas or sector distribution. Such information does not contain names, contact details or any data that could reasonably identify you.

We do not sell, rent or otherwise commercially provide your personal data to third parties. We may disclose data only if required to do so by law, a court decision or a competent regulatory authority.
5. International transfers of personal data
Innixus Group Sàrl is based in Switzerland. Switzerland is recognized by the European Commission as a country providing an adequate level of protection for personal data. Transfers of personal data from the EU or EEA to Innixus Group Sàrl therefore do not require additional safeguards.

If you are selected for the program and have given the relevant conditional consent, your identifying data may be transferred to Tahaluf Al Emarat Technical Solutions LLC in the United Arab Emirates. The United Arab Emirates does not currently have an adequacy decision from the European Commission regarding the protection of personal data.

Such transfer is therefore based mainly on:
• your explicit consent given in the application form;
• the Standard Contractual Clauses and additional safeguards set out in our data protection agreement with Tahaluf;
• the legal framework of the United Arab Emirates, in particular Federal Decree-Law No. 45 of 2021 on the Protection
Personal Data, under which Tahaluf operates.

Our processors Wix and Smartemailing may also process personal data outside Switzerland and the EU/EEA, in accordance with its data processing agreement and the applicable mechanisms for ensuring protection in international data transfers.
6. How long we retain your personal data
We retain personal data only for as long as necessary to fulfil the purpose for which it was collected, or for the period required by applicable law.

Non-selected applicants

If you are not selected for the program, we retain your application and related personal data for 24 months from submission. After this period, the data will be deleted unless you have opted in to communication about future program intakes or related opportunities. In that case, we may retain the relevant contact details until you withdraw your consent.
Selected applicants

If you are selected for the program, we retain your personal data for the duration of your participation and engagement in the Halif Hatch program. After the program ends, we retain it only for as long as necessary to comply with legal, tax, accounting, contractual or record-keeping obligations, generally for no longer than 10 years, unless applicable laws or circumstances require a different retention period.

Tahaluf retains the data it processes as a separate controller in accordance with its own retention rules and the Data Protection Agreement.

Analytics and cookie data

Data obtained through cookies is retained according to the lifespan of each cookie and in accordance with our Cookie Policy. During a standard visit to the website, we retain cookies only for as long as necessary for the purpose for which they were used. Essential technical cookies are generally retained for the duration of the session or for a short period that is technically necessary. Cookies used to remember your settings or consent are retained for a maximum of 6 months. Analytical and marketing cookies are retained for a maximum of 13 months, unless you withdraw your consent earlier.

Backups

Your personal data may also be stored in backup systems, in accordance with our technical and security rules. Data stored in backups will be deleted or overwritten as soon as technically possible under the applicable backup rules. Data in backups is used mainly to protect the availability, integrity and recoverability of data in the event of a security incident or technical failure.
7. Security of personal data
We store your personal data securely and apply appropriate technical and organisational measures to protect it. These include, in particular, access controls, limiting access to authorized persons only, encryption of data transmission and contractual obligations imposed on our processors and partners.

Access to your personal data is limited to persons who need it to perform their tasks in connection with the application process, project evaluation, communication or program delivery.

No system is completely immune to risk. However, we take reasonable measures to minimize risks and protect personal data against unauthorized access, loss, misuse, alteration or disclosure.
8. Automated decision-making and profiling
We do not carry out automated decision-making in relation to your application that would have legal effects or similarly significant effects on you.

We may evaluate your application according to program criteria, such as project relevance, potential, readiness, time availability, selected program path or fit with the available support. Such evaluation, however, is not fully automated decision-making.

We do not carry out profiling for the purposes of automated decision-making when processing your data.
9. Children and persons under 16
The Halif Hatch program is intended for adult applicants only. We do not knowingly collect personal data from anyone under the age of 16.

If we become aware that we have inadvertently collected personal data from a person under the age of 16, we will take reasonable steps to delete it.
10. Your rights
Under the GDPR, UK GDPR and the Swiss Federal Act on Data Protection, you have the following rights in relation to your personal data.

Right of access

You have the right to obtain confirmation as to whether we process your personal data and, if so, to access that data and receive information about how we process it.

Right to rectification

You have the right to request the correction of inaccurate personal data or the completion of incomplete personal data.
Right to erasure You have the right to request the deletion of your personal data, for example if it is no longer necessary for the purpose for which it was collected, or if you withdraw your consent and there is no other legal basis for processing.

This right may not be absolute. In some cases, we may be required to retain certain data due to legal, accounting, tax or contractual obligations, or for the establishment, exercise or defence of legal claims.

Right to restriction of processing

You have the right to request the restriction of processing of your personal data, for example if you contest its accuracy or object to its processing.

Right to data portability

Under certain circumstances, you have the right to receive the personal data you have provided to us in a structured, commonly used and machine-readable format, or to request that it be transferred to another controller.
This right applies to data processed on the basis of your consent or a contract and by automated means.

Right to object

You have the right to object to the processing of personal data that is based on our legitimate interest.
If you submit an objection, we will assess it in light of the specific circumstances. If your rights and freedoms override our legitimate interest, we will stop processing your personal data for that purpose, unless there are compelling legitimate grounds for continuing the processing or grounds for the establishment, exercise or defence of legal claims.

Right to withdraw consent

If we process your personal data on the basis of consent, you have the right to withdraw that consent at any time.
You may withdraw your consent by contacting us at community@innixus.tech or by using another method provided in relation to the specific consent, such as an unsubscribe link in email communication.

Withdrawal of consent does not affect the lawfulness of processing carried out before the consent was withdrawn.

Right to lodge a complaint

If you believe that we process your personal data in breach of applicable data protection laws, you have the right to lodge a complaint with a supervisory authority.

You may contact, in particular:

• the Swiss Federal Data Protection and Information Commissioner, if the matter falls under the Swiss supervisory authority,
• the relevant supervisory authority in your country within the EU or EEA,
• or the supervisory authority based on your place of residence or the place where you believe your rights have been infringed.

If you are located in Slovakia, you may contact the Office for Personal Data Protection of the Slovak Republic.
11. How to exercise your rights
If you wish to exercise any of your rights or have questions about the processing of your personal data, please contact us at:

We generally respond to your request within 30 days of receipt. In the case of a complex or extensive request, this period may be extended in accordance with applicable law.

If your request relates to data processed by Tahaluf as a separate controller in connection with your participation in the program, we will coordinate with Tahaluf in accordance with our Data Protection Agreement.
12. Cookies
We use cookies and similar technologies on the Halif Hatch website to ensure the functioning of the website, improve user experience, analyse traffic and, if you give us your consent, for marketing purposes.

13. Changes to this notice
We may update this notice from time to time, in particular if there are changes to the way we process personal data, the involvement of partners, technical tools or legal requirements.

The current version will always be available on our website. In the event of material changes, we will inform you in an appropriate manner.
